A creative design agency was in need of bookkeeping oversight assistance as the task was becoming quickly too much for the owner to administer himself. He wanted to grow his agency but was unsure of the best ways to go about accomplishing the task efficiently.
Using QuickBooks for Mac, we needed to assume a part-time CFO role of the organization. We needed to develop oversight procedures to ensure that the books were kept up to date as well as performing any ongoing corrections that needed to be made within the QuickBooks file. Additionally, we needed to devise a reporting structure that provided the owner with the information that he needed to evaluate the ongoing progress of growing his agency in a manner that was straightforward and consistent.
How We Helped
We developed a set of procedures that are used to ensure the data is entered into QuickBooks properly allowing us to extract information on the profitability of each client for any given month for the agency.
We spent time with the client reviewing their business and creating a 12 Month Forecast (by month) for use throughout the year. This Forecast shows all Income, Cost of Goods Sold and Expenses by month as well as a forecast cash scenario. Each month we review the forecast with the client and make any updates accordingly so that it stays current with the ongoing business climate and is delivered to the client along with other reports and analysis.
We update and review bank account and credit card transactions weekly as well as provide a dashboard report to the client on a weekly basis. This allows the client to get a high level view of the current month’s performance versus the forecast that we created with them.
